Auxo Business Services

Virtual Administrative Assistant

Remote · Contract

About the role

We’re a virtual assistant agency that strongly believes business can be simple, fun, and profitable when the right pieces and people are in place.

The Virtual Administrative Assistant helps busy founders and business owners keep the day-to-day details under control so they can focus on the work they do best. This is a fully remote, contract position for someone who finds real satisfaction in bringing order to a busy workday and making sure things get done.

Our clients need reliable, thoughtful support behind the scenes. They’re looking for someone who can take a task, think it through, and follow it through to completion. You’re comfortable with recurring work, can figure out straightforward problems, and learn when to run with something versus when to stop and ask. You keep the client informed and make the next step clear so they don’t have to keep checking in.

What You Could Do Day-To-Day

Every client is different, so this list is representative, not exhaustive. Common tasks our Administrative Assistants take on include:

  • Scheduling meetings, maintaining calendars, and coordinating the details so everyone knows where to be and what they need.

  • Entering and updating information in CRMs, spreadsheets, and project management tools — checking for accuracy and flagging anything that doesn’t look right.

  • Organizing files and documents so the client and their team can find what they need without digging.

  • Researching topics, opportunities, or platforms and summarizing useful findings with the client’s question and priorities in mind.

  • Organizing and scheduling approved social media content, checking that the details and timing are correct.

  • Drafting follow-up emails, documenting meeting action items, and tracking outstanding tasks and approvals through completion.

  • Coordinating with team members like bookkeepers or social media managers, following up on missing information, and keeping the client informed about progress and next steps.

You’re likely an awesome fit for most of our clients if…

  • You enjoy creating order — accurate records, organized files, and a task list you can trust.

  • You can figure out straightforward tools and minor roadblocks, and bring a useful question when you do need help.

  • You organize your work around the client’s priorities and clarify what matters when it’s unclear.

  • You learn the client’s preferences and boundaries so you know what you can handle independently and what needs their input.

  • You catch small errors and respectfully flag something that seems off before moving ahead — then follow through once the client makes the decision.

  • You enjoy getting recurring work right, take feedback well, and find ways to make the next round smoother.

  • Your client rarely has to chase you for an update. You come to check-ins prepared with progress, questions, and outstanding approvals, and make sure they know what happens next.

You’ll likely miss the mark with most of our clients if…

  • You need frequent reminders to manage your time, finish tasks, or follow up on outstanding items.

  • You get bored with recurring work and struggle to give routine tasks the same care each time.

  • You avoid owning mistakes or treat feedback as criticism rather than something you can use.

  • You stop at a minor roadblock and wait for instructions without first trying to figure it out.

  • You either ask for approval on every routine task or make assumptions without learning the client’s boundaries.

  • You report a problem or missed deadline without explaining what’s affected, what you recommend, and what you’ll do next.

What You’ll Need To Hit The Ground Running:

  • At least 2 years of experience in a remote administrative support role.

  • Based in the United States.

  • Availability during normal business hours, not just evenings and weekends.

  • Reliable internet, computer, and phone.

  • Comfortable using Google Workspace, task management software, and basic CRM platforms — and learning new tools.
